Coffee Service
Banquet facilities typically calculate coffee based on gallons
- One gallon providing approximately 10 to 16 cups
- Advise to order coffee for 50% to 75% of guests
- 1-2 gallons per 30-50 people (more for morning events)
- Always assume a portion (often 20-30%) will be decaf, and allow for hot water for tea.
Water Service
Essential
- Filled water pitchers in Chicago area conference rooms generally starts at approximately $5 to $16 per pitcher
- Many suburban conference venues include water service (pitchers or stations) as part of their daily room rental package, rather than as a separate line item.
- Venue Regulation (As of 2026): For, 16-ounce or less bottles, the maximum allowed charge at entertainment venues is $2.00
Juice Service
Venues typically charge for juice service in one of three ways: per-person packages, per-gallon pricing, or as part of a general, unlimited beverage service.
- Per-Person Packages: $1.00 to $5.00 per guest for unlimited service during the event
- Per-Gallon Pricing: $14.25 to $100 per gallon
- Non-alcoholic bar packages, including juice, soda, and water, often range from $2.95 to $10.95 per person
Refreshment beverage stations at hotels and banquet facilities typically cost between $8 and $15 per person, often structured as all-day service or a multi-hour package. These stations usually include coffee, tea, iced tea, soda, and water, with options for juice or infused water. Additional service charges (15–25%) and labor fees ($150–$200+) are common.
Infusion beverage stations at banquet facilities and hotels typically cost between $5 to $15 per person or a flat fee of $100–$300 per station (serving 25-50 guests), often offered as a “break” or “enhancement” package rather than a full bar service. Costs are subject to 18-25% service charges and sales tax

Selecting freshly baked goods, fruit, juices and coffee to create a cost-effective, crowd-pleasing spread is a great way to welcome your guests to your event.

Beverage at Continental
Ensure the spread includes coffee (regular/decaf), tea service, assorted juices such as orange, cranberry & tomato juice. Flavored infusion chilled waters are refreshing. Bowl of fresh fruit can be an extra touch to add dynamics.

Baked Goods
Heighten the spread with the addition of varied baked goods such as croissants, muffins and bagels. Make it more interactive & exciting with the offerings of jams, butter, and cream cheese. Order roughly 1.5 pastries per person

Fee for Continental
Continental breakfasts generally range from $8–$12 per person, though premium options can be higher. At several venues, your estimate can be ordered ahead with some easy-to-thaw & serve pastries on standby if needed.
